Infrastructure Report:
- Alan approved the paving recently completed by RCH.
- Drainage is poor across the road from Units 29 and 30. Alan will speak to John Crooks about regrading adjacent to the wetland area to direct the flow in that direction to eliminate standing water on the roadway as a temporary fix.
- RCH recommended gravel/stone be placed on the left side of the road where 3rd row meets Jenkins Road to assist in preventing further cracking of the pavement. Alan will speak with John about that also.
- Sturgeon Creek has completed sewage system pumping and maintenance, except for pumping of individual holding tanks. Alan is to contact them to schedule the pumping of the individual holding tanks once we have determined the locations. They noted that cloth was found in the system during inspection. Fortunately, no damage occurred.
- Alan will investigate the cabinet housing the compressors at the rear of Unit 8 for possible repair or replacement.
Motion to approve the infrastructure report was made by Cindy, seconded by Karyl, and approved by all
Old Business:
- Bruce will repair the damaged soffit area at the office building this weekend.
- A proposal was received by the Board from a Property Management Company. The base cost for maintaining our bookkeeping would be over $14,000 annually. This did not include meetings, arranging and paying for contract work etc. Thereby reinforcing the need for volunteers and keeping our community managed internally.
New Business:
- Board is sending a letter to the Madbury Police Department thanking them for patrolling our neighborhood and welcoming their assistance in keeping our community safe.
- Karyl noted that there is no longer a speed limit sign posted on Jenkins Road and requested someone contact the Town to request one be installed. The road is traveled by pedestrians quite regularly and many vehicles go extremely fast on the road.
- Bruce Ferland volunteered to fill the vacancy of Vice President. Karyl nominated Bruce for the position and the Board accepted.
- A brief discussion was brought up as to whether correspondence received by the board should be read at meetings. It was decided that all financial info pertaining to late payments etc. would remain confidential by board members. Letters that pertained directly to the Association if they affected the community will be shared at future meetings.
- Karyl indicated she is interested in replacing her fence and will come to the board once she has more information.
- Ken will be having a window replaced and will email the Board with the specifics. The contractor, NewPro Windows and Doors, handles obtaining the building permit.
Meeting was adjourned at 7:09 pm.
