The August Board Meeting was called to order at 6:04pm.

Board members Cindy Tilton, President; Bruce Ferland, Vice President; Ken Gray, Treasurer; and Alan Cade, Director of Infrastructure were present. Also present were Association members Cecilia Cinfo, Ed and Diane Sowell, Karyl Horn, Thomas Roberts, Lisa Fessenden, and John Crooks. Chris Bourcier from ROC-NH was also in attendance.

Absent:

All Board members were present.

Cecilia made a motion to approve the July minutes and was seconded by Bruce and approved by all.

Treasurer’s Report:

All income for July was $12455.00.  Total Expenses were $19,662.88. Net income was  $-7,207.88.  Our total Checking/Savings, Emergency Fund and Capital Improvement Fund is $64,258.99. There were no corrections or omissions.

Infrastructure Report:

  • Alan reported that water collects across from Unit 46. It was decided to place crushed rock in an area adjacent to the shed near the meeting house to have on hand to repair the area as needed, and to be available for future waterline repairs.
  • Alan will contact Sturgeon Creek to schedule the pumping of the individual holding tanks. Locations are identified on plans in the meeting house, indicated by circles near the homes. Cindy said she would contact the Unit Owners at #11 about pumping their holding tank.
  • Alan still needs to investigate the cabinet housing the compressors at the rear of Unit 8 for possible repair or replacement.
  • Grass in the limited common area of Unit 8 (Row 2 side) needs to be mowed by the resident. Resident will be notified.

Old Business:

  • Soffit board at the meeting house was replaced by Bruce. He stated he will obtain matching stain to complete the replacement.
  • Letter was received by the Madbury Police Dept thanking them for their service to us and requesting they continue their patrols of the condominium.
  • The Town will be contacted about placing a speed limit sign on Jenkins Road.
  • A resident has satisfied the Board’s request to either maintain or remove a pool that could become a mosquito breeding ground.
  • A resident removed a structure in their limited common area as requested by the Board.

New Business:

  • A Pitbull has been seen numerous times (on their property) unleased without supervision.  A warning letter will be sent telling them they are in violation of the Rules as well as Town of Madbury leash laws.
  • The subject of selling of homes came up for a brief discussion. The home of a Unit Owner was found listed by a realtor, and the Board was not notified of the home being advertised for sale. The Unit Owner has been contacted about the requirement; however, the Board still has not received the notice required by the Declaration regarding sale of homes.
  • Ken Gray discussed with Chris Bourcier, of ROC-NH, of our continuing goal of obtaining a CDBG grant for replacing our aged water lines. He advised Chris that we had completed the preliminary engineering study in 2015, and were told in 2017 that they would be in touch with us as far as moving forward to request a CDBG grant. Ken said we have had no contact regarding a grant and need their cooperation and guidance in moving ahead with the project. Ken will provide Chris with the information we have on that study if he cannot find it at his office, and will email him the point of contact we had at that time that helped us obtain that grant. Chris will investigate as to why we seemed to have been “forgotten” on this project and make sure this is an active item on his schedule.

Meeting was adjourned at 6:55 pm.
